How Kadai works — simple guide
This short guide explains the three ratings you set for each task, how the app orders tasks, where your data is stored, and how to change the look of the app. The language is simple and the steps are short so you can jump straight in.
Urgency, Importance, Desire — what they mean
Urgency
How quickly the task needs to be done. High urgency means it should be done soon. Low urgency means it can wait.
Importance
How valuable or meaningful the task is. High importance tasks move you forward in a big way. Low importance tasks are less impactful.
Desire
How much you want to do the task. High desire means you feel ready or motivated to start. Low desire means you do not want to do it right now.
Visual priority indicators
Each task card can show a color bar at the top that represents the task's priority score. The priority score is calculated by combining urgency, importance, and desire — this is what determines which tasks appear at the top of your list. The bar uses a progress bar style that fills (or empties) based on priority level. The color changes in 5 distinct steps every 20% for clear visual changes — low priority (default green), medium priority (yellow-orange), and high priority (default red).
You can choose whether the bar fills up (higher priority = fuller bar) or empties down (higher priority = emptier bar) based on your personal perception. Some people find a filling bar more intuitive, while others prefer seeing priority as decreasing time remaining.
You can customize these colors in Settings to match your preferences or accessibility needs. Preset color schemes are available for colorblindness, high contrast needs, and other visual preferences. You can also choose to show the priority number, the color bar, or both.
How to use the app (quick)
Create: Tap New task, give it a short Title. Notes are optional.
Rate: Use the sliders to set Urgency, Importance and Desire (0–10). Try to be honest — the app uses these numbers to calculate priority and help you decide.
Date: Set a To-do date or Due date if relevant. Use Status to mark Snoozed or Completed.
Save: Tap Save. You can edit or delete the task later.
How tasks are ordered and prioritised
The app calculates a single priority score for each task based on the three ratings you give it and the dates you set. Tasks with the highest priority scores appear at the top of your Active list and in the Organiser. Snoozed tasks are kept out of the main list until you unsnooze them. Completed tasks are moved to the Completed view.
Short tip: if a task is urgent and important but you have low desire, consider breaking it into a smaller step you can start quickly. Small wins raise desire and make progress easier.
Where your data is stored
All data is stored locally on your device. That means:
Your tasks stay on your phone or computer only.
If you change devices, your local data will not move automatically and may be lost.
A cloud backup and web access feature is planned for premium users in a future update. Until then, local storage is great for privacy and for people who prefer not to sync their data.
Appearance and accessibility
You can change the color scheme and toggle dark mode in Settings. Pick a color scheme or turn on dark mode to make the app easier on your eyes or to match your preference. Several colour schemes are available so you can choose the contrast and tones that help you focus best.
For accessibility, you can customize the priority progress bar with presets for colorblindness (deuteranopia-safe blue-to-orange), high contrast needs (yellow-to-purple), or choose your own colors. The bar changes color in 5 distinct steps for clear visibility. The app also supports custom fonts, dark mode, and the option to reverse the bar direction to match how you perceive priority.
Simple tips for focus
Keep titles short and clear.
Use the Notes field for the next small step, not the whole project.
If a task feels too big, break it into two or three smaller tasks and give each a clear next action.
If numbers are hard to process, try the visual priority bar — it shows your task priority at a glance with distinct color changes.
